Cookie Policy

1. What Are Cookies
Cookies are small text files placed on your device when you visit a website. They are widely used to make websites work efficiently, provide a better user experience and supply information to site owners. This Cookie Policy explains how StudyViaAI Ltd ("we", "us", "our") uses cookies and similar technologies on studyviaai.com.
2. How We Use Cookies
StudyViaAI uses cookies and local storage for the following purposes:
2.1 Essential Cookies (Required)
These cookies are strictly necessary for the Service to function. Without them, you would not be able to log in or use core features.
| Cookie / Storage | Purpose | Duration |
|---|---|---|
sid | Session authentication — keeps you logged in securely | 7 days from login (fixed expiry) |
email_sid | Email-based authentication session cookie | Session |
2.2 Functional Cookies and Local Storage
These store your preferences and settings to provide a personalised experience.
| Cookie / Storage | Purpose | Duration | Type |
|---|---|---|---|
studyviaai_tour_completed_v2 | Tracks whether you have completed the onboarding tour so it is not shown again | Persistent | localStorage |
sva_visitor_id | Anonymous visitor identifier for page view tracking (UUID generated on first visit) | Persistent | localStorage |
2.3 Analytics and Performance (Consent Required)
These cookies are only set if you accept analytics cookies via the cookie consent banner. If you decline, no PostHog analytics cookies or local storage items are created and no data is sent to PostHog.
We use PostHog for product analytics to understand how users interact with the platform. PostHog is hosted in the EU (eu.i.posthog.com) for GDPR compliance. When you accept analytics cookies PostHog may set the following:
| Cookie / Storage | Purpose | Duration | Type |
|---|---|---|---|
ph_phc_*_posthog | Stores a unique anonymous user ID for analytics tracking. Links your page views and interactions into a single user journey. | 1 year | First-party persistent |
ph_phc_*_posthog_session_id | Identifies the current browsing session for analytics. Groups interactions within a single visit. | 30 minutes (resets on activity) | First-party session |
cookie_consent | Records your cookie consent choice (accepted or declined). Re-prompted every 12 months so your consent remains current. | 12 months | localStorage |
Note: The * in the cookie names represents your PostHog project token. The actual cookie name will include a specific project identifier.
What PostHog collects when you accept analytics cookies:
- Page views and navigation patterns
- Button clicks and form submissions (element text and input values are stripped from events — we never capture what you type into form fields)
- Custom events such as lesson started, quiz taken, curriculum created, and upgrade actions
- Browser type, operating system, screen size, and language preference
- Referring URL and landing page
Session Replay: When you accept analytics cookies, PostHog may record session replays of your interactions with the platform. These recordings capture how you navigate the platform including page views, clicks, scrolls and content displayed on screen. This may include learning interaction content such as chat messages, AI tutor responses and curriculum content visible during your session.
Data masked in session replays: Sensitive personal information (email addresses, dates of birth, passwords, and payment details) is automatically masked in session recordings and is never visible.
Data visible in session replays: Learning interaction content (chat messages, AI tutor responses, curriculum content, quiz answers, exam answers, revision notes) may be visible. This is used solely for platform improvement by authorised StudyViaAI team members and is never shared with third parties, used for marketing or used to identify individual users outside of product improvement purposes.
Data not collected by PostHog under any circumstances: voice recordings, audio transcripts, precise geolocation, biometric data or special category personal data.
If you reject analytics cookies, no PostHog cookies are set, no PostHog analytics data is collected, and no session recordings are made.
For more information, see PostHog's Privacy Policy at posthog.com/privacy.
2.4 Error Monitoring (Legitimate Interest)
We use Sentry for error monitoring and performance tracking on both the frontend and backend. Sentry does not set cookies governed by the Privacy and Electronic Communications Regulations (PECR), so cookie consent is not required for Sentry. However, Sentry does process personal data (including IP addresses and device information), and this processing is carried out on the basis of our legitimate interest in maintaining platform stability and security (Article 6(1)(f) UK GDPR).
Sentry may collect:
- Error details and stack traces when something goes wrong
- Browser type, operating system, and device information
- IP addresses (collected automatically for debugging purposes)
- Performance metrics such as page load times and API response times
Sentry helps us identify and fix technical issues quickly. You have the right to object to this processing on the basis of your particular situation — contact admin@studyviaai.com. For more information, see Sentry's Privacy Policy at sentry.io/privacy.
2.5 Advertising Cookies
We do not use advertising or tracking cookies. StudyViaAI does not serve advertisements and does not share your data with advertisers.
3. Third-Party Cookies
When you make a payment, you may be redirected to Stripe's checkout page, which may set its own cookies for payment processing and fraud prevention. These are governed by Stripe's Cookie Policy at stripe.com/cookies-policy/legal.
4. Cookie Consent Banner
When you first visit StudyViaAI, a cookie consent banner is displayed at the bottom of the page. You have two choices:
- Accept: Analytics cookies (PostHog) will be enabled, allowing us to collect usage data and record session replays to improve the Service.
- Decline: No analytics cookies will be set. PostHog will not be initialised, no usage data will be sent to PostHog, and no session replays will be recorded. Essential and functional cookies will still operate as they are required for the Service to function.
Your choice is stored in your browser's localStorage as cookie_consent. We will re-prompt you for consent every 12 months so your preference remains current. You can change your preference at any time by clicking the "Cookie Settings" link in the website footer, which will re-display the consent banner and allow you to update your choice.
5. Managing Cookies
You can control cookies through your browser settings. Most browsers allow you to:
- View what cookies are set
- Delete individual or all cookies
- Block cookies from specific or all websites
- Set preferences for first-party vs. third-party cookies
Please note: If you disable essential cookies, you will not be able to log in or use the Service. Clearing localStorage items (such as your visitor ID) will reset those preferences.
To manage cookies in popular browsers:
- Google Chrome: support.google.com/chrome/answer/95647
- Mozilla Firefox: support.mozilla.org/kb/enhanced-tracking-protection-firefox-desktop
- Safari: support.apple.com/guide/safari/manage-cookies-sfri11471
- Microsoft Edge: support.microsoft.com/microsoft-edge/delete-cookies
6. Do Not Track
Some browsers offer a "Do Not Track" (DNT) setting. As there is currently no industry standard for how to respond to DNT signals, we do not alter our data collection practices based on DNT headers. However, we minimise tracking to what is necessary for the Service to function and improve and we provide a clear opt-out through our cookie consent banner.
7. Changes to This Policy
We may update this Cookie Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. We encourage you to review this policy periodically.
